How It Works

From first contact to your letter.

The process is affirming and clear. You should always know what happens next and what it costs.

A brief consultation. A short call to confirm what you need, which letter and whose requirements it must meet (surgeon, provider, agency, or payer), that you are an adult located in Georgia or New York, and that the request is within scope. This is not the evaluation itself.

A full evaluation, over one to two sessions. I conduct a complete gender-affirming care evaluation across one or two sessions to gather all the information needed. It is WPATH SOC-8-informed and adult-focused, an affirming process rather than a hurdle.

Requirement and focused record review. I review the exact requirements you provide, and any focused records when needed, so the letter matches the specifications of the surgeon, provider, agency, or payer.

Your letter, written and sent. When the evaluation supports it, I write and send one letter, typically within 7 to 10 business days after the evaluation and all required information are complete, including one authorized transmission and one reasonable revision within 30 days.

Before Your Appointment

A little prep makes the letter go smoothly.

The most helpful thing you can do is bring the exact, written requirements from whoever will receive the letter (your surgeon, provider, agency, or payer) before we meet. Requirements vary, and having them up front means the letter is right the first time, with less back-and-forth. If there is a deadline, tell me early, and if a focused record is needed, I will let you know exactly what to send.

Important Notes

Evaluations are conducted by Dr. Vance, a Licensed Professional Counselor in Georgia and Licensed Mental Health Counselor in New York, whose postdoctoral training in LGBT health was completed at Columbia University Irving Medical Center. Evaluations are provided to adults physically located in Georgia or New York at the time of the appointment. A letter is not guaranteed before the evaluation is complete. Provide the exact surgeon, provider, agency, or payer requirements before the appointment. The evaluation is WPATH SOC-8-informed and adult-focused. Ongoing therapy is not routinely required to receive an evaluation. ClearMinds may refer out if the request is outside scope, competence, or legal authority.
